It's that time once again! TPS is in need of approximately SEVEN volunteers per shift. We were low in February and that definitely impacted the actor's experience. The volunteers really, in all seriousness, run these auditions and make or break their success. Volunteers are invaluable to this program. Please remember that while there may be opportunity to view some auditions and that is certainly a benefit, volunteers are first and foremost needed to perform the duties of the jobs listed below and ensuring the smooth functioning of the event and positive experience for actors and auditors.

The job descriptions are below. To volunteer, please email karen @ tpsonline.org with the requested information. You will be contacted directly if you have already emailed or stated willingness to volunteer in your actor application. Thank You!

General Shift Times:
Monday 6/26 - AM SHIFT: 8:30am - 12:30pm
                     PM SHIFT: 1:15pm - 5:15pm
Tuesday 6/27 - AM SHIFT: 8:30am - 12:30pm
                     PM SHIFT: 1:15pm - 5:15pm
Wednesday 6/28 - AM SHIFT: 8:30am - 12:30pm
                          PM SHIFT: 1:15pm - 5:15pm

TPS Unified General Audition Volunteer Job Descriptions:

GREETER:
-Checks in actors in the outer lobby
-First friendly face they encounter
-Instructs them to drop off their head-shot resumes at the sorter table in the main lobby
-Informs them that there are TWO warm-up rooms.
   -Quiet Room in the Black Box all the way at the end of the hall with pinkish carpet
   -Loud Room in the Conference Room: first door on their right down hall
-Instructs them to ‘sign-in’ on the posted sheet in one of the warm-up rooms. They MUST stay in the room in which they initial or the ROOM MONITOR will not be able to find them.
-Inform them that groups audition in ½ blocks and they must be in either room at the start time for their group
-Inform them that we will NOT search for them anywhere other than the warm-up rooms.
-Inform them that the large dry erase board will show which auditors are currently present.
-Inform them that there is an address sheet on the Actor Hospitality table that they may take.
-Ask them to please feel out an Actor Survey when they are done.

SORTER:
-Staffs the Resume/Head-shot drop off table in the main lobby.
-Receives stacks from actors and sorts them according to the schedule.
-Maintains stacks for auditors not currently in the room who have made a specific request.
-Maintains a ‘master’ stack for the TPS Office.

RUNNER:

-Take sorted stacks from the SORTER and distribute them to the auditors every ½ hour or so.
-Ensures that every auditing company only receives ONE set of headshots/resumes. (They will have a colored card indicating who may receive a packet. – NO CARD – NO PACKET)
-Cross checks the # of packets being distributed with the # of signed in auditors on the dry erase board

TIMER:
-Runs the stopwatch timing the actors (Monday time limit is 3 minutes for AEA/EMC, T/W is 2 minutes for non-equity)
-Time begins with the start of the piece – we do not time their slate (introduction)
-Calls “Time/Thank you” in a clear polite voice when time has expired
-‘Discretion’ is not for the TIMER to determine.
-We do not ‘warn’ actors at various time intervals. We have found that this practice actually is far more distracting than helpful and the auditors feel it ‘messes up’ more actors than it helps.

HOSPITALITY: Must arrive for the morning shift no later than 9am – 8:30am preferable
-Assists in the set-up and maintenance of both the auditor hospitality table (in the theatre) and the actor hospitality table in the main lobby.
-Ensures that food trays are re-filled/prepared for the next break and that coffee/juice is plentiful.
-Reminds actors to fill-out 5-minute actor survey
-Reminds actors that there is an auditor address sheet on the hospitality table
-Helps in keeping an eye on auditors coming and going so we may keep the dry-erase board current and accurate

FLOATER:
-must be prepared to fulfill any of the above job duties and beyond.

TPS is so very grateful to all the folks who volunteered their time to make the June Auditions successful. I was truly amazed at how smoothly they were run. Thank you to all these people!
